Privacy Policy

The Kiwanis Voices Club of Nippon (KVCN) is a chartered club of Kiwanis International, Japan District. This policy explains how we handle information across our websites: kvcn.org and the sites at pulse.kvcn.org (convention companion), katalyst.kvcn.org (member volunteer board), learn.kvcn.org (free learning resources and the Study Buddy), and academy.kvcn.org (a preview dashboard).

Our guiding rule is to collect as little as possible, especially from young people.

The short version

• We do not sell your data.
• Our public pages need no account. We use privacy-friendly, cookieless analytics that count visits without cookies and without collecting personal data.
• The Study Buddy is stateless: your questions are used to generate a reply and are not stored or logged by KVCN. Please do not type personal details into it.
• Katalyst is for adult Kiwanis members and needs a sign-in; it stores only what the volunteer board needs to work.

What we collect, by site

kvcn.org, learn.kvcn.org, academy.kvcn.org — no accounts and no sign-in. We use Cloudflare Web Analytics, a cookieless service that records anonymous, aggregated usage (such as pages viewed) to help us understand what is useful. It sets no cookies, does not fingerprint your device, does not track you across sites, and collects no personal data.

Study Buddy (on learn.kvcn.org) — your typed question, the chosen age band and language, and the recent messages in the same chat are sent to Cloudflare Workers AI to generate a reply, and the reply is screened by a safety filter. KVCN does not store or log your questions or replies, and the chat is cleared when you leave the page. The helper is instructed never to ask for personal information.

Katalyst (katalyst.kvcn.org) — adult members sign in. We store the member's name, email address, club, the events they RSVP to, and recorded service hours, so the volunteer board and Engage reporting can work. A session cookie keeps you signed in. Katalyst is for adults only and is not intended to hold any information about minors.

Pulse (pulse.kvcn.org) — the convention companion needs no account. If you choose to turn on push notifications, your browser's anonymous push subscription is stored so we can send convention updates; you can turn this off at any time in your browser.

Children's privacy

Our learning pages are designed to be used without giving any personal information. The Study Buddy is instructed never to request a child's name, school, address, contact details, photos, or location, and to remind a child not to share such details online. We do not create accounts for children and do not knowingly collect personal data from them. If you believe a child has sent us personal information, contact us and we will remove it.

Cookies

Our public pages set no cookies. Our analytics are cookieless, so there is no analytics or advertising cookie to accept or decline. Katalyst uses one essential cookie to keep a signed-in member's session.

Who processes data for us

We rely on Cloudflare (hosting, the Study Buddy model, security, and cookieless Web Analytics) and Google Cloud and Firestore (hosting and the member database for Pulse and Katalyst). These providers process data on our behalf under their own terms, and may process it in the United States, Europe, or Asia.

Your choices and rights

You can ask us what data we hold about you, correct it, or ask us to delete it. Members can also update their own profile in Katalyst. To make a request, email [email protected].

Changes

We may update this policy as our sites grow. We will change the date above when we do.
